Start to Delegate
1. Review the Task: The first step to delegating is to find a task that is keeping you away from concentrating on the growth of your business. Review the tasks that you currently perform- are they crucial and can be done only by you? Focus on what will translate to the growth of your business and delegate tasks that do not capitalize on your strengths.
2. Find the Right Employee: Know the strengths of your employees and determine the right person for the job. Once you do so, be sure to give them enough of leeway and space to perform. It is always better to delegate complete tasks that the employee can work on his/her own instead of sub-tasks of a project you are overseeing. This will give them a feeling of responsibility and ensure that they perform better.
3. Be Clear: Often when Business owners begin to delegate they are unclear either in their instructions or their expectations. Clarity will allow your employee to perform the task at hand efficiently.
4. Be Available: When a person has just begun a new task or project, they may require guidance from you. Make sure you are available to answer questions, give feedback and inputs. Before they start the task, set aside some time to brief them about the progress, goals and procedure of the task at hand.
5. Set Deadlines: At the start of the task or project you will want to set mini deadlines and a final deadline to the completion of the project. You could also have your employees set their own deadline frameworks, this will ensure that they work towards the deadlines that they set and are motivated to finish the project on time. If you do not give them the room to fix their own schedules, you may end up spending time following up on the task rather than moving to other ones.
6. Evaluate Fairly: Once a task is done, you may feel the urge to nitpick or to point out that you would have done or have being doing a task differently. It is important that you give the employee enough room to make the task their own and create their own process. Do share feedback on points that you feel are lacking but ensure that these are points that actually matter. Do not micro-manage the task as that will defeat the purpose of delegation.
7. Recognise Good Work and Give Credit: It is always important that you as the boss recognise a job well done. This is especially true of tasks that you used to perform and have now delegated to an employee. Recognising their contribution will keep up morale and ensure that your employee feels like he or she has achieved a sizeable growth both in responsibility and skills in your company. It will also convey that you recognise that their contribution matters.
